## Steps for Transaction Reconciliation

Download your virtual card and physical card transactions to perform statement reconciliation with your issuing bank statement at the end of a fiscal period.

### Step 1: Determine Date Type on Your Bank Statement

- The **Transaction Date** is the date you made the purchase.
- The **Clear Date** is the date the transaction is settled.

- If your bank statement reflects “Transaction Date”: Ensure the “Transaction Date” is displayed in Extend.
- If it reflects “Clear Date”: Change the setting in Extend to “Clear Date” using the “Filters” menu.

### Step 2: View Your Transactions

In the Expenses Transactions Page, you can toggle the filter to display only your transactions.

### Step 3: Set the Date Range for Reconciliation

Select the date range you wish to reconcile using the calendar tool.

### Step 4: Download Your Transaction Statement

Click on “Download Options” to download your statement in CSV format. This can include attached receipt documentation if desired.

### Step 5: Reconcile Your Transactions

During reconciliation, compare transaction amounts, authorization or clearing dates, and other details. The Transaction CSV export contains the following common data fields:

- **Registered Card Last 4:** The last four digits of the card.
- **Registered Card Name:** Name of the primary physical card associated with the virtual card.
- **Transaction Date:** The date of the transaction.
- **Clear Date:** The settlement date of the transaction.
- **Status:** Transaction status — Pending, Cleared, Declined, Reversal.
  - _Pending:_ Awaiting clearing record.
  - _Cleared:_ Successfully processed.
  - _Declined:_ Transfer failed.
  - _Reversal:_ Authorization canceled.
- **Name On Card:** Name associated with the card used.
- **Settlement Billing Amount:** Amount settled for the transaction.
- **Merchant Name:** Name of the merchant.
- **MCC:** Merchant Category Code.
- **Reference ID:** Unique transaction identifier.
- **Receipt:** Indicates if a receipt is required.
- **Transaction Receipt:** Link to attached receipt documentation.
- **Notes:** Relevant notes about the transaction.
