Budgets – Extend

Overview

Extend gives you the ability to create budgets for anyone in your organization who is responsible for managing business expenses.

Note: Before you can create a budget, you must register a card, which serves as the budget’s funding source.

What is a budget?

In Extend, a budget serves as a tool to allocate and organize virtual card spend for different teams, projects, locations, clients, events, or other expense categories.

Additionally, you can empower your team to send virtual cards on behalf of the business by adding them to any budget you create. When you send a budget to one or more people in your company—could even be yourself—they become the budget user(s) and gain the ability to create, send, and update virtual cards within the allocated budget limit and controls.

You can choose the budget type (standard, recurring, or unlimited) and customize the controls to fit the needs of your department or project while tracking spend in real-time.

Note: If you send virtual cards not assigned within a budget, you will not be able to delegate management of that virtual card to anyone else later.

Ways to use budgets?

Using a budget for virtual card creation is the best way to organize company spend and protect future flexibility. A budget ensures that you can always delegate secure access to your credit line.

Use a budget to:

• Ensure time-off coverage: Add other team members to a budget so they can manage virtual card requests while you are away.
• Share administrative access: Create an unlimited budget to securely delegate access to your credit line so your finance team can create virtual cards for payments and reduce tedious approval processes.
• Manage team spending: Track project-based spending with multiple budget users from a single funding source.
• Issue employee expense stipends: Send pre-approved funds to employees so they can make time-sensitive purchases, especially for travel.
